How we handle personal data when you browse, enquire, or travel for treatment. This single page covers both international privacy expectations and the information required under Turkish Law No. 6698 (KVKK).
1. Who this applies to
This notice applies to visitors of orbismedclinics.com, people who contact us by form, email, or WhatsApp, and patients who receive or plan dental care with our team in Turkey. Where Turkish law applies, we act as data controller (veri sorumlusu) for the processing described here.
2. Data we process
We may process: identity and contact details (name, phone, email, country); enquiry and appointment information; communications content you send us; limited health and clinical information needed to assess suitability for treatment and to deliver safe care (including imaging and treatment notes when you become a patient); travel or logistics preferences you choose to share; and technical data from the website (IP address, browser type, pages viewed, approximate region) for security and analytics.
3. Purposes and legal bases
We use personal data to: respond to enquiries and send quotes (contract steps or pre-contract, and legitimate interest in operating our service); schedule care and coordinate clinics, transfers, and hotels (performance of a contract and legitimate interest); comply with accounting, tax, health-sector, and regulatory obligations where applicable (legal obligation); send marketing only where you have opted in (consent); and keep our website secure (legitimate interest). Under KVKK, processing may also rely on the statutory grounds set out in Law No. 6698 where they align with these purposes.
4. Health and special categories of data
Dental and medical information may qualify as sensitive personal data. We process it only where necessary to provide health services, with appropriate safeguards and staff confidentiality duties, and in line with KVKK and applicable health regulations.
5. Sharing with others
We may share data with: partner dental facilities and clinicians involved in your treatment; professional advisers where required; IT and hosting providers that support our website and email; and messaging or analytics providers (for example Meta for WhatsApp if you contact us there). Some providers may be located outside Turkey or the EEA; where required we use appropriate safeguards such as contractual clauses and vendor diligence.
6. Retention
We keep data only as long as needed for the purposes above, including statutory retention periods for health, tax, and accounting records where they apply to our operations. Marketing consents are refreshed or withdrawn on request. When retention ends, we delete, anonymise, or archive according to policy and law.
7. Security
We implement administrative and technical measures appropriate to the risk, including access limits for staff, confidentiality expectations, secure communication channels where available, and supplier review. No online transmission is completely risk-free; please avoid sending unnecessary sensitive information in open channels.
8. Your rights (including KVKK Article 11)
Depending on applicable law, you may have rights to: know whether we process your data and request information; request correction of incomplete or inaccurate data; request deletion or restriction where grounds exist; object to certain processing; receive a copy of data you provided in a portable format where technically feasible; and lodge a complaint with a supervisory authority. In Turkey, you may apply to the Personal Data Protection Authority (KVKK Kurumu) under the conditions set out in the law.
9. How to exercise your rights
Email us at info@orbismedclinics.com with your request and enough detail to identify you safely. We aim to respond within a reasonable time and, where Turkish law applies, within the statutory deadline (typically up to 30 days). We may ask for additional information to protect your account from fraudulent requests.
10. Cookies and similar technologies
We may use cookies or similar tools for essential site operation, preferences (such as language or theme), and limited measurement of traffic. You can control cookies through your browser settings; blocking some cookies may affect site behaviour.
